Review Summary

S.M. Wilson & Co. saw immediate improvements to its entire business after it installed CMiC 2006, an enterprise-wide AEC (architecture, engineering, and construction) project management software package from CMiC.

Mark Patterson, chief information officer at St. Louis-based S.M. Wilson, pointed to several tangible time savings as a result of using CMiC software. The ability to have multiple users concurrently completing tasks such as job costing and budget creation has improved turnaround time on budgets, he noted. In addition, the company was able to halve the time spent sending job billing reporting to owners, saving up to 60 man-hours per month. Finally, the ability to use imaging capabilities and create an invoice printing system has saved each S.M. Wilson accountant three working days a month, Patterson said.

CMiC also helps the contractor streamline processes. The construction project management software can provide real-time project financial information, both for internal use and for client reports. The software also allows users to assign phase codes and market sector classifiers to projects; this provides a better cost history and makes it easier to use that information for accurate construction estimates, Patterson said. Finally, thanks to CMiC software subcontractors for several recent Target retail store construction projects were paid faster and more accurately than on previous projects, he said.

S.M. Wilson also uses CMiC to improve its compliance activities. For example, before a subcontractor can be paid, he must provide proof of insurance coverage, including the coverage expiration date. Rather than waiting until a subcontractor issues an invoice, S.M. Wilson now has a report indicating what coverage will be expiring in the next 30 days. The company can work with subcontractors to make sure they get updated insurance information before S.M. Wilson is forced to hold the payment. "By being proactive, we will make sure our Subcontractors get paid for the work they perform in a timely manner," Patterson said.

Going forward, Patterson said the firm hopes to use CMiC software to further enhance its project planning process and, as a result, get reimbursed for planning activities much easier. As he explained, "We will start a project in CMiC and track the activities prior to winning the job. On some projects this cost is reimbursable. Since this is a job in CMiC, we will be able to create a bill using the billing module much faster than we can do today. If we win the job, many times some of the costs are reimbursable. Since the preconstruction activity was being tracked in the bid job, we can roll the reimbursable costs into a bill to the owner."

He said S.M. Wilson also intends to incorporate the dada generated in its construction estimating system directly into a CMiC budget.

Overall, Patterson rated CMiC 2006 an 8 out of 10. The main area of improvement for this construction project management software, he said, is with its documentation, which is not always clear. "I would not think of asking our employees to use the provided documentation," he said, adding, "We have created our own."

More than two years.

What kinds of construction projects do you mostly work on?: 

We specialize in healthcare, education, retail, office, senior care living and general commercial construction projects.

Where did you obtain it?: 

Directly from CMiC.

How much did you pay?: 

The pricing varies based on the modules you select, the number of seats you need and consulting services required to implement your processes within the software.

Why did you pick this product?: 

We were looking for fully integrated construction project management and job cost accounting software.

Was this product compatible with the software programs you were already using?: 

No. We were using CMAS for accounting and Primavera Expedition for project management. We still have to load up the old application to review information from past projects.

Did you look at other tools on the market before picking this one?: 

We spent a great deal of time talking to peers in the industry who used this product and had tried other integrated systems. That, combined with many product demonstrations, convinced us that CMiC was the right product for our company.

Before you bought this product, were you using a different one to do the same job? : 

As stated, we were using CMAS for accounting and Expedition for project management. We only use these two products to access historical information on past projects now.

How many people are using this software? : 

We currently have about 185 people using this product. They are the accounting staff, project managers, project executives, project engineers, project assistants and superintendents.

Comparing the way you work now with the way you worked before you bought this tool, what has changed? : 

Job Budget Creation: This is no longer controlled by a single entry person, so turnaround time much faster.

Job Billing: We no longer need to create separate reports for backup, which means the job accountant does not have to search for all transactions and job costs

Payroll: Job Executives have the ability to input their time directly based on assigned codes, and timesheet entry has been reduced

Project Instantiation: New phase code system and market sector classifiers enable the preparation of more accurate bids.

Site Management: The use of daily logs allows project managers easy access to daily activities. Also, the standardization of daily reports have lead to easier filed management supervision

Claims: The search time for claims has been reduced because they are all stored in a central location.

Forecast: A project manager has the ability to drill down into details. As a result, financial information is kept up to date.

Work in Place/Revenue Forecasting: Our CFO now utilizes a standard report that contains all information; he does not have to collect information from multiple sources

Payment Processing: This enables S.M. Wilson to be pro-active with sub-contractor compliance

General Ledger: Overall we are more effective and efficient, and it is easier to balance accounts.

Can you give us an example of a job where this tool really made a difference?: 

Substantial improvements have occurred in various processes, such as job budget creation, which is now controlled by the Project Manager of each project and not a single entry person and therefore the turnaround time is much faster. The payroll system has reduced timesheet entry by allowing project superintendents to input their time directly based on assigned phase codes for the project from the daily project logs. The phase codes and market sector classifiers in CMiC will provide a better cost history for projects and better mining capabilities, which in turn will help prepare more accurate bids in the future. Site management has also been made easier because the daily reports are now in a standard format and in a central location. The project superintendents input their daily logs into the system, which gives the project manager easy access to daily activities.

In addition, job billing no longer requires the job accountant to search for all transactions and current job costs. We are able to produce the bill quicker for review, and since the majority of our owners require full backup, it was very time consuming to track down all invoices and transactions. The backup report has all the detailed information needed for our project owners and we no longer have to create separate reports for backup.

Can you estimate how much time or money you saved or other measurable benefits your firm realized using this tool?: 

The time saved from eliminating double entry by having the project management and accounting fully integrated has lead to increased productivity and the availability of real-time project financial information. The overall workload is distributed and can be done concurrently, while the use of imaging and creating our own invoice printing system has saved each accountant 3 working days a month.

Job billing on jobs requiring backup submitted to owners, which before CMiC was implemented took 10.5 hours per job per month. This now takes 5.5 hours per month, giving S.M. Wilson and its staff a savings of 48 to 60 hours per month -- time which can now be spent on other tasks that help S.M. Wilson achieve its business goals.

Overall, one of the more impressive gains that S.M. Wilson saw after implementing CMiC is the increase in growth without adding to overhead costs. "We grew by 30% while only adding one more job accountant to our staff. That would have been unthinkable with our old software system. We are able to handle more work without increasing staff. CMiC gives us the tools and the open architecture to achieve our business goals," said Dale Miller, S.M. Wilson's vice president.

Do you think it's a fair value for the price you paid?: 

Yes.

Are there features that you don't use?: 

There are features we do not use because they do not fit how our company operates. We are still working on developing how to implement many other features.

Who would you recommend use this tool?: 

Any company that is responsible for constructions project management will benefit from CMiC.

How much computer experience do you think someone needs to use this tool effectively?: 

That depends on who is using the software. Many of our superintendents have very little computer experience and, with a couple of hours of training, have nonetheless been able to master the tasks we have asked them to do within the product. The remaining staff members have no difficulty using CMiC software if they have reasonable computer experience. We do provide monthly training sessions that combine the use of CMiC with the processes those staff members support.

Did it take much training (or studying) to learn to use this tool?: 

The pilot group required nine months to learn the product modules, develop how S.M. Wilson was going to implement the product, develop training materials, train our staff and convert our existing project data.

Have you ever called the company's support lines and asked for help?: 

Yes, most of the support staff is helpful and simple problems get resolved quickly. We have found that on larger issues, though, you need to follow up regularly to make sure the issues get resolved.

How would you rate the user documentation? : 

The documentation is the one area that CMiC needs to put more time into. It is not always clear for our support staff to solve problems with. I would not think of asking our employees to use the provided documentation. We have created our own.

When the next version of this software comes out, will you upgrade to it?: 

We just finished upgrading three weeks ago (in May 2008). S.M. Wilson's future objectives include the continued standardization of processes, better communication between the design team/owners and the subcontractors, and of course, continued efficiency, all of which CMiC's software solutions provide.
